Executive Secretary

EMPLOYMENT OPPORTUNITY
Classification: EXECUTIVE SECRETARY
Salary Range: $ 4,483 - $5,447 Monthly   $53,796 - $65,364 Annually

A permanent position exists in the Office of the General Counsel.

NATURE OF CLASSIFICATION
Under general direction, incumbents in this class perform sensitive, highly complex administrative and secretarial work for the Executive Director, Board of Commissioners, General Counsel, or a department administrator. Incumbents exercise a high degree of independent judgment and discretion and the work involves frequent and demanding personal contact with the public and officials of governmental agencies. An assignment in this class can include the preparation and processing of the Board agenda and accompanying items, minutes, resolutions and other actions. Incumbents may exercise supervision over lower level clerical staff. Under the provisions of Government Code Sections 3500 et seq. (Meyers-Milias-Brown Act), some positions in this class are designated "confidential" for collective bargaining purposes. These positions report to positions that are also designated "confidential". The disclosure of information that could impact interactions between the agency and a union is prohibited by virtue of this designation. Positions not designated "confidential" are represented by the Municipal Executives' Association (MEA).

MINIMUM QUALIFICATIONS
EDUCATION, EXPERIENCE AND LICENSURE - Any combination of education, experience and training that would likely provide the required knowledge and skills. A typical pattern, but not the only qualifying pattern would be:

Education equivalent to the completion of high school or possession of the General Equivalency Diploma (GED) and five (5) years of work experience performing highly responsible secretarial or administrative duties or project coordination experience, preferably in support of upper level management or a Board of Directors AND Type net 55 words per minute.

Typing Certificate Requirements: To be considered for this position, you must provide proof of your typing ability by submitting a copy of your valid typing certificate with your application. In order to be considered acceptable, typing certificates submitted must be on letterhead (or a certificate) of the issuing agency and contain the following information:

  • Name of applicant
  • Length and type of test (must be 5 minutes)
  • Number of errors
  • Date of typing test
  • Gross words per minute
  • Name and signature of tester

Substitution: Formal education beyond that which is minimally required can substitute for required experience based on one (1) year of education being equal to six (6) months of experience.

Sensitivity to and experience working with ethnically and culturally diverse individuals, communities, agencies and organizations which comprise the constituency of the San Francisco Housing Authority.

Possession of a valid California driver's license, and automobile insurability by the Authority's insurance carrier, or the ability to arrange suitable transportation when required by the necessities of the job.

PHYSICAL DEMANDS - Mobility and manual dexterity to work in a standard office environment and use standard office equipment; vision to read handwritten and printed material and a computer monitor; hearing and speech to communicate in-person and by telephone; ability to lift and carry items weighing up to 20 pounds such as files, books or boxes of paper, forms or other supplies for distances up to 50 feet.

SELECTION PROCESS
Testing Requirements: Applicants meeting the minimum qualifications will be administered an examination that will consist of English Usage, Correspondence Skills, Written Communication/Report Writing, and Public and Interpersonal Relations, AND a qualifications assessment interview that will solely determine the applicant's ranking on the employment eligibility list. Applicants must pass each phase of the process to be placed on the list that will be used to make an appointment to the position.

Qualified applicants will be notified by mail of the exact time and location of the examination. The tentative date for the written exam is November 27, 2007. The tentative date for the assessment interview is December 11, 2007.

Employment offers are contingent upon documentation of the right to work in the United States and a criminal record check.
